Vehicle Scheduling

Vehicle Scheduling enables you to plan, manage, and monitor loads throughout the delivery lifecycle. Each vehicle schedule can be tracked through the various stages of fulfilment, including Planned, Scheduled, Dispatched, and Delivered.

When planning deliveries or goods receipts, vehicle schedules can be created directly from Sales Orders or Purchase Orders, allowing loads to be allocated and managed efficiently.

Vehicle Schedule Generation Methods

Vehicle schedules can be automatically generated using one of the following methods:

Vehicle Count

Automatically generates a user-defined number of vehicle schedules.

This option is useful when:

  • Multiple vehicles are required for a single load.
  • A specific number of vehicles must be allocated in advance.
  • Mixed loads require multiple vehicle schedules, as the Mixed Load generation option creates only a single schedule.

Users can specify both the number of loads and the number of vehicles assigned to each load.

Maximum Units per Vehicle

Automatically generates vehicle schedules based on the maximum capacity of each vehicle.

The user specifies the maximum quantity that can be transported per vehicle, and the system calculates the required number of loads accordingly.

Example:
If a total quantity of 100 units must be delivered and the maximum capacity per vehicle is set to 50 units, the system will generate two vehicle schedules.

This method helps ensure optimal vehicle utilisation and accurate load planning.

Mixed Load

Mixed Load schedules are intended for deliveries containing multiple item types.

When this option is selected, the system generates a single vehicle schedule containing all items included in the delivery, allowing mixed consignments to be managed as one load.

Schedule Requirements and Status Tracking

The minimum information required to create and save a Vehicle Schedule is:

  • Schedule Date
  • Schedule Time

Once created, vehicle schedules can be updated manually as required. However, Augtool is designed to automatically manage schedule statuses as transactions progress through the purchasing or sales process.

For example, if a vehicle schedule is created with a status of Scheduled, and the associated goods are subsequently weighed or processed through a Goods Received Voucher (GRV), the system will automatically update the vehicle schedule status to Delivered.

This automated status management ensures that vehicle schedules accurately reflect the current stage of the delivery process while reducing manual administration.

A record of all vehicle schedules created in the system can also be found by navigating to Logistics > Vehicle Scheduling. A vehicle schedule can be created by selecting the business unit and clicking the create button (1).

Vehicle schedule Reference to pull through to weigh ticket

A new setting for WeighTicket_ApplyScheduleReference has been added.

When the setting is turned on it will set the reference on the weighticket to the schedule when the schedule is selected on the edit.

You will still be able to change the reference after this but it will overwrite any existing reference when the schedule is selected.
